Data Submission Instructions

STEP 1: Logging into the application

PC Users – Login Instructions

  • Enter the Login Name assigned to your district:

  • Enter the password you chose to complete the submission last year.  The password is case sensitive, so be sure to note whether using upper/lower case.  NOTE:  If you can not remember the password you set up last year, contact Jennifer Rattling Leaf at jennifer.rattlingleaf@state.sd.us

  • Click on “Submit”.

  • You have now completed the login process and are at the application main menu. (Picture of a rocket and says Launchpad 2005 up in the top, left hand corner.)

MAC Users – Login Instructions

  • Check the box next to K12 Applications, click on “Submit”.

  • Enter the Username assigned to your district.           

  • Enter the password you chose during last year’s data submission. The password is case sensitive, so be sure to note whether using upper/lower case. NOTE: If you can not remember the password you set up last year, contact Jennifer Rattling Leaf at jennifer.rattlingleaf@state.sd.us.

  • Click on “Login”.

  • The Application Sets window will come up. Click on “DECA Applications”.

You have now completed the login process and are at the application main menu. (Picture of a rocket and says Launchpad 2005 up in the top, left hand corner.)

STEP 2:   Instructions for printing blank worksheet forms prior to completing the data submission

  • Choose Reports from the Launchpad Application main menu and click on:  Reports for DE105 Safe/Drug/Gun Free Reporting System
  • This will bring up the Report Main Menu.  At the top is a Report Group Box with a dropdown list of report options. Click on the drop down arrow and select DE105-Worksheet.  There are 4 report options in this report group.
  • If you need to provide the Current Terms and Definitions to additional staff for reporting purposes, click on Current Terms and Definitions.  Click on “Next” and the glossary of terms will be displayed.  Choose File, then Print to print out as many copies as needed.  Click on the box with the X in the upper right corner of the screen to close the report when printing is completed.
  • To print the next report, click on the report named District Summary Data and click “Next”.  Make sure the school year shows “2008” in the criteria dialog box, then click “OK”.  Once the report is displayed, click on the Printer icon in the upper left portion of the screen to print out a copy of the report. Close the report by clicking on the X in the box at the upper right corner of the report.
  • Click on School Report – Incident Data and click “Next” to display and print this report. 
    • NOTE: This report must be printed on LEGAL SIZE paper.  You will need to complete one copy of this report for EACH of the attendance centers in your district, so be sure to print off enough copies to complete one for each attendance center.
  • Click on School Report – Services to Students and click “Next” to display and print this report.  Again you will need to complete one report for EACH of the attendance centers in your district.  Close the report by clicking on the X in the upper right corner of the report window.
  • Close the Report Menu by clicking on the X in the upper right corner.  This will return you to the application main menu. (Picture of the State Capitol)

STEP 3: Instructions for encoding data into the application

  • General Data Entry Instructions:
    • There are 2 parts to completing this data submission (School Data and District Data).  You must complete the School Data before you are able to access and complete the District Data portion of the submission.
    • Click on the “Save” button at the bottom of each screen to save your data and move onto the next screen.
    • An online dictionary of definitions is available, by moving your mouse over the word you want defined.

Choose Applications from the Launchpad Application main menu and click on: DE105 Safe/Drug/Gun Free Reporting System

SCHOOL DATA

  • Click on Contact Information from the menu on the left side of the screen.  Complete the information for the point of contact person responsible for the information submitted.  Click on “Save” at the bottom of the screen.
  • From the menu on the left side of the screen, click on Actions, click on School Data and finally, click on Choose School.
    • The School Data must be completed for each attendance center listed. Click on the attendance center button that you want to complete.
    • School data consists of 2 sections--Criminal/Violent Incidents and Services to Students. Click on the attendance center name for which you want to complete the school data.
      • Incident Data:
        • Check the box next to each type of incident that occurred during the reporting period.
        • Enter on next screen the total number of incidents per category.  NOTE:  Data should be entered PER INCIDENT NOT PER STUDENT.
        • Enter the total number of disciplinary actions by type per incident category.
        • Enter the total number of offenders (unduplicated count) by type for each category.
        • Enter the total number of victims (unduplicated count) by type for each category.
      • Services to Students:
        • Identify, if any, the types of Services/Activities offered by the school during the reporting period.  Choose all that apply.
        • Enter the number of students (unduplicated count) that were impacted by these services.
        • Enter the number of students (unduplicated count) for which a truancy complaint was filed.
        • Click on “Save” at the bottom of the screen.
        • Follow the above steps to complete the data submission for each attendance center.
        • Before checking the box to mark the attendance center data complete, it is recommended that you print and review each report for accuracy before marking the attendance center complete.
  • After all attendance center data has been completed and reviewed for accuracy, click on the box next to the name of each attendance center to mark it complete.  You may now access the District Data to complete that portion of the submission.

District Data

  • Click on Actions, from the menu on the left side of the screen.
  • Click on District Data
  • Complete the District Summary Data and click on “Save”.
  • After all data for the district has been completed, again, print and review the reports for accuracy. The final step is to check the box to mark the district complete.

You have now completed the required reporting for the Safe, Drug and Gun Free Schools data submission.

STEP 4:   Instructions for printing completed reports

  • Choose Reports from the Launchpad Application main menu and click on:  Reports for DE105Safe/Drug/Gun Free Reporting System.
  • This will bring up the Report Main Menu.  At the top is a Report Group Box with a dropdown list of report options. Click on the drop down arrow and select DE105-Report (District)
  • There are 4 report options in this report group.
  • Click on the report you would like to view/print and click “Next”.
  • A Report Criteria box will display, make sure the School Year shows 2006, then click “OK”.
  • Once the report is displayed, print the report using the printer icon at the top of the screen.  Close the report by clicking on the X in the upper right corner of the report.
  • Follow the same steps above to print all of the report options listed.
    • NOTE:  The incident data report must be printed on Legal Size Paper.

To close the application, click on the box with the X in the upper right hand corner of the application..
